Prorating Assets during a Contract Termination

Contract Termination - Asset Proration Amount not propagating to the Assets

The situation: A user wants to process a Contract Termination, they have an amount that they have determined is the Contract Termination amount and needs to prorate that amount across the assets related to the contract.

Steps to recreate:

1.  On the Asset Disposal Screen, enter the Proration Amount

2.  Select (by checking) all the assets

3.  Click Sell All Selected

The issue:   4.  In the disposal grid, the Disposal Type updates to Sell, however the Cost Assignment is defaulted to "Sale Amount and the Value column = 0.00.

One option is to edit the process for Prorating Assets by making the necessary changes in Excel. Here are the steps to accomplish this.

The goal is sell all assets on the contract:

1. From Contract Explorer - Main screen, select a Rewrite Type: = Contract Termination, set an Effective Date and Reason Code.

2.  Click Asset Disposal on the top toolbar.

3. On the Asset Disposal screen, - Assets tab, set the Prorate on to Book Value,

4.  Enter the Proration Amount (i.e. the amount determined as the Contract Termination amount that is being prorated  across the assets)

5.  Select (by checking) all the assets 

6. Click the Edit in Excel located above the asset grid.

7.  After Excel opens, for each asset, set the Disposal Type = Sale, and Cost Assignment = Prorate

8.  Save and close Excel

9. Back in ASPIRE, Click Load from Excel

10. After importing, the Total Sold amount and  Gain/Loss fields should be populated. 

11. Continue invoicing and process as normal.
