Use HTML in Batch Letter Emails

ASPIRE Batch Letter Gen Module users will now be able to incorporate a select set of HTML elements for Account, Contract, and VAT Document Reference Types. 

When running Batch Letter Generation manually (on the Tasks menu - Document Generation screen) or via JobStream, for Account, Contract, and VAT Document batch types, if Generate and Email is selected for the Distribution Method:
1.  A user can configure the email body using HTML elements.  Email will be HTML format only, no plain text.

2.  A user can use Doc Tags in the email subject and body.  Each document Level has a unique list of available tags via dialog box similar to the existing one under Admin > Doc Templates - Create/Edit Template button.

3.  Creating VAT Documents through JobStream is not available. 


Note:  Manual Batch Letter Generation does not have the ability to save email templates.  Contents have to be pasted or manually entered.

An HTML editor toolbar was added to the Email Body textbox to allow users to format text and insert images, links, and ASPIRE data tags.

To insert ASPIRE data tags into the Email Body, select the 'Insert Template Tag' icon from the toolbar. The available data tags are dependent on the selection of Account, Contract, or VAT Document (VAT Document batches are not available in JobStream).

Note: Users can insert images into the Email Body using the following recommended HTML format, <img src="data:image/typ;base54,XXXX..."> ('typ' = file format and 'XXXX' = base64 encoded image)

  • Account Alternate Name
  • Account DBA
  • Account ID
  • Account Name
  • Account Parent Company ID
  • Account Parent Company Name
  • Account Primary Contact Name


Contract data tags available:
  • Contract ID
  • Customer Account Id
  • Customer DBA
  • Customer Name


VAT Document data tags available:
  • Anniversary Date (select to format as Short Date, Long Date, or None)

  • Anniversary Date (DD MMM YYYY)

  • Anniversary Date (DD/MM/YYYY)

  • Anniversary Date (MM/DD/YYYY)

  • Contract ID

  • Customer Account Id

  • Customer DBA

  • Customer Name
