Using Quick Search

Quick Search

The Quick Search field is always available on the upper, right-most part of the title bar. Quick Search filters are available in a drop-down list next to the Quick Search field.

Tip: Use the keyboard shortcut, Ctrl+Q, to move your cursor to the Quick Search box to begin a search.

Filters in the drop-down list include the following:
  • Administrators can configure which default search filter will be displayed for users on the user's Account Explorer - Login screen.


Filter Details

This section outlines what each filter searches for and on what screens. 

Account - When searching by Account, ASPIRE will search business Name, individual First Name, Last Name, Acct ID, SSN/EIN, Legal Name, Alternate Name, DBA, and Location Name fields from the following screens:
  1. Account Explorer - Main
  2. Account Explorer - Location
  3. Account Explorer - Related Accounts
  4. Contract Explorer - Main screen - Billing Tab
  5. Contract Explorer - Related Accounts
Account/Contract - When searching by Account/Contract, ASPIRE searches all the same fields as when searching by Account or by Contract.

Address - When searching by Address, ASPIRE searches the Primary Address lines 1-4, City, State, and Postal Code fields from the Account Explorer - Locations screen. 

Asset When searching by Asset, ASPIRE searches the Asset/Equipment Serial Number, Asset Number and Asset Location Name fields from the following screens:
  1. Contract Explorer - Equipment
  2. Contract Explorer - Equipment - Locations
  3. Contract Explorer - Collateral
  4. Tasks menu - Manage Inventory
Contract - When searching by Contract, ASPIRE searches the Transaction #, Contract ID, Bill-To Location, and Email fields from the Contract Explorer - Main screen - Billing tab.

Inventory - When searching by Inventory, ASPIRE searches the Serial Number, Location, Equipment ID, and Collateral # of active contracts from the following screens: 
  1. Contract Explorer - Equipment
  2. Contract Explorer - Collateral

Phone - When searching by Phone, ASPIRE searches the Phone number fields from the following screens: 
  1. Account Explorer - Location
  2. Account Explorer - Main
  3. Account Explorer - Related Accounts
  4. Contract Explorer - Main screen - Billing tab
  5. Contract Explorer - Related Accounts
Purchase Order - When searching by Purchase Order, ASPIRE searches the PO Number field on the Contract Explorer - Accounts Payable screen.

System Area - When searching by System Area, ASPIRE searches Tasks menu and Administration menu labels based on the user's Security Profile.

Vendor Invoice - When searching by Vendor Invoice, ASPIRE searches the Invoice Number field from the Contract Explorer - Accounts Payable screen.


Your search results will open in a new tab in ASPIRE. ASPIRE allows multiple search results tabs open at once.


The Quick Search will take the text string entered and search across the following ASPIRE entity parameters for a match. For example:

Account Name - "Starts with" search of First and Last names of Individual accounts, and Name, Legal Name, Alternate Name and DBA of business account.
  1.  E.g. Entering pa will return Paul Golden, Pamela Burns, Les Paul (individuals); and Pacific Equipment, Pat's Construction, but not Jefferson Parts and Supply (businesses).

       Account ID - "Starts with" search of Account ID.

      Address - Returns all entities with the provided address set as Primary.

      Contract ID - Contains search of Contract ID if numeric, "Starts with" search if alphanumeric.

      Transaction ID - Contains search of Transaction ID.

      Equipment Asset ID - Exact match of Equipment Asset ID.

      Equipment Serial Number - "Starts with" search of Equipment serial numbers.

      Vendor Invoice Number  - "Starts with" search of vendor invoice number.

      SSN - Exact match of Social Security Number.

      Phone Number - Exact match of any phone number of any Phone Type (7, 10, or 11 digit entry). Phone numbers should be entered as a string of digits, no formatting or dashes.

      Purchase Order Number - "Starts with" search of a purchase order number on the Contract Explorer - Accounts Payable screen - Purchase Order tab - Order # field. Also viewable on the Tasks menu - Purchase Order History screen in the PO # column.

      First and Last Name  - Individual accounts only. "Starts with" match on First and Last name fields on the Account Explorer - Main screen.

      Alternate Name, Legal Name, DBA fields- "Starts with"search of these fields on the Account Explorer - Main screen.


Search Results

  • The results returned are governed by the logged in users Security Profile and Deal/Account access settings. Only deals, accounts and areas of ASPIRE the user has access to are available.
  • The highlighted option (Main in the screenshot above) is what will open if the selected search result (the top Kiewit deal above) is double-clicked.
  • Double-click any of the other options to open the selected search result in that option.
  • After entering a search string in the Quick Search field, select Ctrl + Enter, the first item returned will open in the default action. The Search Results tab also opens and is available as usual.
